Memorandum:
The short form of memorandum is memo. The word ‘Memorandum’ comes from the Latin word ‘memorare’ which mean to remember.
A memo is a short note written to help one remember something or remind one to do something.
A memo is defined by Merriam-Webster as a "brief written message or report from one person or department in a company or organization to another.".
The Significance and Advantages of Business Memos
Inexpensive
A major advantage of business memos is that they are inexpensive to create. Even when businesspeople physically print the memo, but if businesspeople send the memo via email, the company also is able to communicate without having ink and paper expenses.
Evidence
Memo information is harder to dispute than oral communication because the memo is evidence of what the writer said. If there is a dispute, employees and managers can refer to the memo to resolve the conflict

Business memos show what was happening in a company at a specific point. They show who was involved in company actions, what the goals were and who initiated them
Less Disruptive
Businesspeople are able to produce and deliver memos easily. Even when the memo is physically printed, employees can read the memo at their leisure. This is less disruptive than other means of communication such as phone calls, instant messaging or meetings.
Delivery
Delivery of memos is easy. With hard-copy memos, it takes just one person to hand the memo out to employees or put it in the employee mailbox. It usually does not take more than one business day for the memo to travel from department to department. With digital memos, businesspeople can send the memo to hundreds or even thousands of workers with a single click, getting the memo out in just seconds.
Critical Thinking
Business memos are designed to be short and to the point. Whatever is in the memo is evidence, as well. These two points encourage the writer of the memo to think critically about what he puts into the memo.

Intent and Audience
1. start by considering your memo's intent.
What is your memo trying to accomplish? Are you trying to inform people of a change? Are you making an announcement? Are you trying to answer a question?
2. Next, determine your audience:
Whom do you want to have read your memo? Your boss? The whole office? Or a specific department? Knowing your audience will help you focus on making your memo helpful and clear to your readers by influencing the words you choose and the tone you use.
3. Do the layout properly.
Here's an example heading layout:

4. SUBJECT: When writing your subject, try to give as much information in as few words as possible. Think of it as if you are writing the headline for a breaking news story; give the reader a quick and clear indication of the text that will follow.
The Body
5. When working on the main text, your focus should be simplicity and clarity. You want your reader to quickly and easily understand what you are saying.
6. In your first sentence, restate the subject of the memo in sentence form. The opening paragraph should flow easily from the subject line.
7. Short paragraphs are easier for your audience to read, and your audience will appreciate lots of white space on the page (or screen).
8. Remember to keep your memo as short as possible.
9. Memos are typically less than one page long .
10. Clarity also addresses how you state ideas, which means eliminating overly technical words or jargon.

Coworkers,
It has come to my attention that many in the office have been spending time on the Google home page microgames. This memo is a reminder to use your work hours for work.
According to a recent article, the estimated daily cost of people collectively playing these games instead of working is over $120 million—which is calculated based on the daily average increased time spent on the Google home page (36 seconds).
If these estimates are applied to our 600 office employees, this results in a nearly $700 weekly loss.
This is a conservative estimate considering the extensive discussions that occur about beating the office's current high score. The extra cost quickly adds up.
Of course, we don't want you to view our organization as a place of drudgery and draconian rules. I encourage a fun and competitive environment, and I recognize that we certainly won't be profitable if you are unhappy or dissatisfied with your jobs. This is just a reminder to be careful with your use of company time.
